Post-Job Email Sequences
How It Works
Section titled “How It Works”When you mark a lead Won, ArborBuddy automatically fires a 3-email sequence. All three emails are written by Llama 3.1 using the lead’s name, service type, and your company name. They’re generated in parallel and sent via Resend.

Manual Trigger
Section titled “Manual Trigger”To fire the sequence manually for a lead that’s already Won (or if auto-fire didn’t run because the lead had no email), open the lead detail and click Fire Follow-Up Sequence.
Requirements
Section titled “Requirements”- Lead must have an email address
- Your company name should be set in Settings → General
RESEND_API_KEYmust be configured (it is, unless you self-hosted)
What Happens for Leads Without Email?
Section titled “What Happens for Leads Without Email?”The sequence silently skips without error. You’ll see a warning in the lead detail if the lead has no email: “No email — follow up sequence will be skipped.”
Customizing
Section titled “Customizing”Currently, all three emails are AI-generated at fire time — you can’t pre-edit them. The AI uses your company name, the lead’s name, and the service type as context. The resulting emails are typically very good (personalized to the specific tree service, with seasonal context).
If you want to standardize the messaging, go to Settings → Email Templates, create templates for initial_followup, and the system will prefer saved templates over AI generation (coming in a future release).
